Every email on this page is one the customer needs, whether or not they subscribed to your marketing email. Send a receipt as a marketing email and HubSpot quietly skips anyone who unsubscribed from your newsletter. Transactional Email sends it anyway, because it isn't marketing.

## Receipts

A receipt confirms that an order went through or a payment came in. It should arrive right away, and it's the first thing a customer looks for when their finance team asks for proof of payment.

| Trigger | What you send |
| --- | --- |
| Deal reaches Closed won | Order confirmation with amount and terms |
| Payment recorded | Payment receipt |
| Invoice paid | Paid-in-full confirmation |

### Set it up

1. Build the receipt in HubSpot's email editor, with tokens for the customer's name, company, amount and date.
2. In a deal workflow that starts at Closed won, copy the amount and close date onto the deal's associated contacts, so the template can use them as contact tokens.
3. Add **Send transactional email**. Set the target to the deal's associated contacts, pick the receipt template and your billing sender profile, and leave **Recipient email** blank. Each associated contact gets their own email.
4. Branch on **Send status**, so anything other than `sent` or `queued_warmup` creates a task for the deal owner.

Every send shows on the contact's timeline, with the template, sender profile, subject and message ID.

Attachments aren't supported, so the receipt is the email itself. If customers need a PDF invoice, link to it from the email, or keep the link in a contact property and drop it in as a token.

## Subscription notices

Subscription notices are about a contract the customer already has: what renews, what they paid, what failed and what changed.

| Notice | When to send | What it prevents |
| --- | --- | --- |
| Renewal coming up | 30 or 14 days before renewal | “Nobody told us it renewed” disputes |
| Payment received | When the renewal is paid | Finance asking whether it went through |
| Payment failed | When a charge fails | Churn from an expired card |
| Plan changed | When seats or tier change | Surprise invoices |

### Set it up

Start the workflow from a date property (such as 14 days before the renewal date) or a property change (such as subscription status). Copy the details the email needs, like plan name, renewal date and amount, onto the contact. Then add **Send transactional email** with your template and sender profile. In a contact workflow it sends to the enrolled contact; in a company or deal workflow, set the target to the associated contacts. Either way, leave **Recipient email** blank.

If a renewal notice doesn't send, branch to a task for the account owner. Hard bounces, spam complaints and three soft bounces in a row suppress the address automatically and flag the contact, so a list of flagged contacts with renewals coming up tells your team who to call.

Put the date and the amount in the subject line, say what the customer needs to do, and use a reply-to that reaches a person on your team. A question nobody answers tends to get reported as spam.

## Account notifications

Account notifications tell customers something changed: a ticket moved, a user was added, a plan was upgraded, onboarding hit a milestone. They have to arrive every time.

| Notification | Typical trigger |
| --- | --- |
| Ticket status update | A ticket moves to a new pipeline stage |
| Onboarding milestone | A company or deal property changes, like “Kickoff complete” |
| New user or admin added | A contact is associated with a company |
| Plan or seat change | A subscription or company property updates |
| Security or policy change | A one-time workflow enrollment |

### Set it up

The action works in contact, company, deal, ticket and custom-object workflows. Outside a contact workflow, set the target to the associated contacts, so each one gets their own email, and leave **Recipient email** blank. Use **Recipient email** only when the record has no contact to target, for example a property that holds the address. Tokens fill in from the recipient's contact and its primary company.

For example, a ticket moves to Waiting on customer. The workflow copies the ticket subject and status onto the associated contact, then runs **Send transactional email** on the ticket's associated contacts with a “Ticket update” template and the support sender profile. If the status is anything other than `sent` or `queued_warmup`, it creates a task for the ticket owner. Each email goes to one recipient, with no CC or BCC.

Each sender profile has its own From name, From address and reply-to. Use a support profile for ticket updates and an accounts profile for plan changes, so replies land with the people who can answer them.

## Keep it transactional

A receipt with a “20% off your next order” banner stops being a receipt. Every template version gets an automatic transactional content review, and a promotional one is blocked with the flagged passage, why it reads as promotional and a suggested fix. Save the cross-sell for your marketing email. [Transactional vs marketing email in HubSpot](https://www.cambiumapps.com/transactional-email/guides/transactional-vs-marketing-email-hubspot?hsLang=en).

## How it works for every use case

1. **Build the template in HubSpot's editor.** Use the drag-and-drop email editor with standard modules and save it as a draft. Don't publish or send it from HubSpot.
2. **Let the content review approve it.** A Super Admin adds the email in **Settings → Templates**. The review usually finishes within a few minutes, and only approved, compatible templates appear in the action.
3. **Add the workflow action.** Pick the template and a sender profile in **Send transactional email**, in any contact, company, deal, ticket or custom-object workflow.
4. **Branch on the status and check the timeline.** The action returns `sent`, `queued_warmup` or the reason it didn't send, such as `suppressed` or `recipient_invalid`. Sent, Bounced and Complaint events show on the contact timeline, and every send is in the send log on **App Home**.
